  • Job Summary: We are seeking an Administrative Specialist to provide high-level administrative and technical skills for the SHPO division, especially for the National Register of Historic Places, Historic Tax Credit teams, and the local government programs.
  • Job Qualifications:

    Minimum Qualifications:

    • Communication skills sufficient to: (i) write, prepare, and edit materials using correct spelling, punctuation, grammar, and sentence construction; (ii) communicate effectively with internal and external customers; and (iii) explain the reasons for transactions and procedures, rules, and regulations so others understand the information they are being given.
    • Knowledge of computer software applications sufficient to create documents from a variety of sources, including compiling lists and creating spreadsheets and graphs to track projects and activities.
    • Skill in data entry sufficient to: (i) read source documents and enter data in specific data fields; (ii) locate and correct data entry errors; and (iii) receive and review source documents, compare documents to database information, and edit documents.
    • Skill in customer service sufficient to: (i) provide prompt, courteous, and accurate information to customers in person, on the phone, and through e-mail and other written correspondence; and (ii) perform the duties described above with courtesy, respect, and interest in positive problem-solving.
    • Skill in accounting/budgeting/expense reporting sufficient to prepare, maintain, and review purchasing/payment files, travel authorizations, and expense reports.
    • Ability to: (i) learn how to maintain and use electronic databases; and (ii) compile, research, and analyze information from databases.

    Preferred Qualifications

    • Coursework, certificate, degree, or experience in historic preservation, history, archaeology, or related field; or public administration.
    • Familiarity and experience working with complex regulations related to historic preservation or government.
    • Demonstrated experience in an administrative or support role.
    • Experience providing support to or staffing a volunteer board.
    • Proficiency with Microsoft Office Suite, Outlook, Microsoft Teams, Citrix Sharefile, and Adobe Acrobat.
    • Excellent organizational, prioritization, and time management skills.
    • Ability to learn quickly of how the State does business, the law, rules, and policies and procedures that permit SHPO to get work done.
    • Ability to gain a detailed, expert knowledge of the statewide systems that must be used to accomplish the division’s business.

Website MN Department of Administration/State Historic Preservation Office

The National Historic Preservation Act of 1966 provides a network of historic preservation offices in every state to spearhead state preservation initiatives and help carry out the nation's historic preservation program. Minnesota's State Historic Preservation Office (SHPO) was created by state statute in 1969 to provide statewide leadership.

This position must follow notification and processing procedures outlined in federal preservation regulations and support the State Historic Preservation Review Board who meets four (4) times per year. This position tracks applications for the state and federal Historic Tax Credit programs, assists in issuing tax program certification documentation, maintains program data, follows federal and state procedures, and invoices/processes fees paid by applicants. Often, this position is the first point of contact for a wide variety of inquiries and will need to become knowledgeable of historic preservation programs in order to act as a resource and forward customers to the appropriate team member(s) for additional assistance. In addition, this position will also manage and track purchasing and payments, maintain office equipment, and handle central mail.

To promote a culture of flexibility, we offer staff a hybrid work environment that varies by team, position, and business needs. Completion of a telework agreement will be required. With this position, a minimum of three (3) days per week in the office will be required. In addition, this position will be required to travel and work occasional evenings and weekends.
